1. Our Role: Processor vs. Controller

It is important to understand our role in handling data:

  • For Coworking Space Operators: When you sign up for LiteHQ to manage your space, we act as a Data Controller regarding your account information, billing details, and direct business relationship with us.
  • For Members/Users of Coworking Spaces: When you use LiteHQ to book desks, rooms, or manage your membership with a specific coworking space, that coworking space Operator is the Data Controller of your personal information. LiteHQ acts as a Data Processor, processing your data on behalf of the Operator to provide the requested services.

2. Information We Collect

Information You Provide to Us:

  • Account Information: Name, email address, password, company name, and contact details.
  • Payment Information: We collect billing details to process subscription fees (via secure third-party processors like Stripe).
  • Support Communications: Content of messages you send to us for customer support.

Information Collected via the Platform (acting as Processor):

  • Booking Data: Dates, times, and resources booked (e.g., meeting rooms, desks).
  • Membership Data: Plan details, check-in times, and access logs.
  • Visitor Data: Information entered into visitor management systems (if used).

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our Services.
  • Process transactions and send related information, including confirmations and invoices.
  • Send you technical notices, updates, security alerts, and support and administrative messages.
  • Respond to your comments, questions, and requests.
  • Monitor and analyze trends, usage, and activities in connection with our Services.

4. Sharing of Information

We do not sell your personal information. We may share information in the following circumstances:

  • With Service Providers: We share data with third-party vendors, consultants, and other service providers who need access to such information to carry out work on our behalf.
  • With Your Coworking Space: If you are a member, your data is accessible to the Operator of the coworking space you are associated with.
  • For Legal Reasons: We may share information if we believe disclosure is in accordance with, or required by, any applicable law, regulation, or legal process.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. This includes encryption of sensitive data in transit and at rest, regular security assessments, and access controls.

Depending on your location (e.g., GDPR, CCPA), you may have certain rights regarding your personal data, such as the right to access, correct, delete, or export your personal information.

If you are a Member: Please contact the Coworking Space Operator (the Data Controller) directly to exercise your rights regarding data they hold about you. We will assist them as a Processor upon their request.
